The Utah County Fair ("we," "us," or "the Fair") respects your privacy. This Privacy Policy explains what information we collect when you use our website, what we do with it, and the choices you have.
1. Information We Collect
We collect information you voluntarily provide when you interact with the Fair, including:
- Volunteer signups: name, phone number, email address, age confirmation, optional comments, and your text-message preference.
- Competitive arts and other entries: name, contact information, entry details, and (for some categories) age and school/club affiliation.
- Contact form submissions: name, email, phone (if provided), and message content.
- Sponsorship and vendor inquiries: business contact information.
- Bingo participation: name and phone number when you register for the fair-week scavenger bingo activity.
We also automatically collect limited technical information when you visit the site, including your IP address, browser type, and pages visited. We use this only for site reliability and basic, aggregated analytics.
2. How We Use Your Information
- To process your volunteer signup, entry submission, or other registration.
- To send you email and (if you opt in) text-message notifications related to your activity at the Fair — for example, signup confirmations, schedule reminders, schedule changes, check-in instructions, judging results, and pickup information.
- To respond to questions you send us through contact forms.
- To run the Fair safely and fairly (for example, age verification for volunteer roles).
- To improve the website and the Fair experience.
3. Text Messaging (SMS)
If you check the SMS opt-in box on a Fair registration form (such as the volunteer signup or entry submission form), you consent to receive recurring text messages from the Utah County Fair at the phone number you provided. Approximate frequency is 2–6 messages per month, with more during fair week.
Message and data rates may apply. Text-message consent is not a condition of registering or participating in any Fair activity.
You may opt out at any time by replying STOP to any message. Reply HELP for help, or contact us at info@utahcountyfair.org.
When you opt in, we record the date, time, and IP address of your consent, along with the exact wording of the consent disclosure shown to you. This is kept solely as a record of your consent.
We do not sell, rent, or share your phone number or SMS consent information with third parties for their marketing purposes. Carriers and our SMS delivery provider (Twilio) handle messages on our behalf and only use your number to deliver them.
4. How We Share Information
We share your information only when necessary to operate the Fair, and only with parties who help us deliver the services you've signed up for:
- Service providers: our email provider, our SMS provider (Twilio), and our website host. These providers are contractually limited to processing your information for our benefit only.
- Fair staff and volunteer coordinators: who use the information to manage events, shifts, entries, and check-ins.
- Legal compliance: if required by law, court order, or to protect the safety of fair attendees and staff.
We do not sell your personal information.
5. Data Retention
We retain registration and signup records for the current fair year and for a reasonable period afterward to support reporting, repeat-volunteer recognition, and compliance with applicable laws. SMS consent records are retained for at least four years after consent is given or withdrawn, in accordance with telecom recordkeeping recommendations.
6. Your Choices
- Texts: reply STOP at any time to stop receiving them.
- Emails: use the unsubscribe link in any email, or contact us.
- Access, correction, deletion: contact us at info@utahcountyfair.org to request a copy of your information, correct it, or ask that we delete it (subject to recordkeeping obligations).
7. Children
The Fair is a family event. The website is not directed to children under 13, and we do not knowingly collect personal information from children under 13 except in the context of youth competitive entries (e.g., 4-H, Junior Fair Board) where a parent or guardian provides the information on the child's behalf.
8. Security
We use reasonable administrative and technical measures to protect your information, but no system is perfectly secure. Please do not send sensitive information (such as government ID numbers or payment card details) through the website unless we have specifically asked for it via a secure form.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the current version. Material changes will be communicated through the website.
